Your Activity Calendar is your day-to-day command center for managing all bookings across your venues. Access it instantly when you open the DropDesk Spaces mobile app or via the "Calendar" tab in the DropDesk Web App. From here you can view new, pending, and past bookings, check payment status, edit booking times (web only), cancel reservations with refund options, and message your users directly.

Why Your Activity Calendar Matters

Running a successful listing means staying organized, responsive, and in control of your bookings. Whether you're offering space, services, or activities, your Activity Calendar is the tool that brings it all together—giving you a real-time view of everything happening at your location. The booking calendar is one of many powerful features designed to help hosts succeed.

When you log into the mobile app, you're taken directly to your calendar, where you'll see the most up-to-date view of:

  • New bookings
  • Past bookings
  • Pending requests
  • Payment information

If you prefer working on a desktop, you can access the same information through the web portal by clicking "Calendar" at the top of the screen.

If your calendar looks empty at first, don't worry—that's completely normal. It simply means you haven't received your first booking yet.

How to Use Your Activity Calendar

Your Activity Calendar displays all user bookings in one place, with today's bookings appearing at the top for quick access.

The Booking Calendar displays all your bookings with quick access to Edit and Cancel actions.

By selecting any booking, you can view important details, including:

  • The name of the package that was booked
  • The user who booked the package
  • Booking date and time
  • Payment status

You'll also have options to modify the booking directly.

Understanding Booking Statuses

Each booking in your Activity Calendar includes a status to help you quickly understand what action, if any, is needed.

StatusMeaning
PendingRequires your approval. Respond by replying "YES" or "NO" to the SMS/Text booking request.
Paid / ConfirmedThe booking is confirmed, and the user is scheduled to arrive.
DeclinedThe request was not accepted and is stored for your records.
CanceledThe booking has been canceled by either you or the user.

Keeping an eye on these statuses helps you stay organized and respond promptly.

Editing Bookings (Web Portal Only)

At this time, bookings can only be edited through the web portal.

To make changes:

  1. Go to the Calendar tab
  2. Select the booking you want to update
  3. Click Edit
  4. Adjust the date or start time

The Edit Booking modal lets you adjust the date and time for a reservation.

Keep in mind: You can change the date and time slot, but not the duration. For example, a 1:00 PM – 2:00 PM booking can be moved to 9:00 AM – 10:00 AM, but not extended to 9:00 AM – 12:00 PM.

Canceling Bookings

You can cancel bookings through both the mobile app and the web portal.

On the web portal:

  1. Select the booking from your calendar
  2. Click Cancel
  3. Choose your refund option:
    • Full refund
    • Partial refund
    • No refund
  4. Add a refund note
  5. Confirm the cancellation

The user will receive the refund based on the option you select.

Communicating with Your Customers

Good communication creates better experiences and better reviews.

On the mobile app, each booking includes a "Message" option in the Contact Customer section. This allows you to start a conversation directly with your user about their reservation.

This is especially helpful for:

  • Confirming details
  • Answering questions
  • Providing updates

Your Activity Calendar isn't just a schedule—it's your control center for managing bookings, handling changes, and staying connected with your users.

Make it a habit to check your calendar regularly and respond promptly. With the right approach, you'll turn bookings into repeat users and long-term success.
