To add a new venue or edit an existing location on DropDesk, log in through the DropDesk Web App. Navigate to the Locations tab to add or edit your venue. For the best ranking and booking conversion, ensure your venue has at least 10 high-quality photos, detailed descriptions, accurate amenities, and an SMS-enabled manager's phone number to receive instant booking alerts.

Why Keeping Your Venue Listings Updated Matters

Whether you are managing multiple spaces, services, or locations, keeping each venue profile accurate and up-to-date is critical for driving search visibility and securing bookings.

Follow these 9 steps to add a new location or optimize an existing venue listing in the DropDesk web app.

Step-by-Step: Adding or Updating Your Venue

Step 1: Log In to the Web App

Venue creation and deep profile edits require the desktop experience.

  • Log in to the DropDesk Web App (Note: Venue settings cannot currently be edited in the mobile app).

Click on the Locations tab in the top navigation to manage your venues.

  • Click the Locations tab at the top of the screen.

Click Add Location to create a new venue, or click Edit to update an existing one.

  • Select Add New Location or find an existing venue and click Edit.

Step 2: Verify Your Location Details

Start by confirming the basics. Accuracy here sets the right expectations before a guest ever clicks "book."

  • Check the venue name and physical address for typos.
  • Verify that your Venue Type correctly matches the correct business category you are in. You will see several options—choose the one that best represents the venue or location.

Step 3: Confirm Contact Information (Use a Mobile Number)

Ensure your venue's phone number and email address are current so you never miss a booking request, user message, or platform notification.

Best Practice: We highly recommend using the on-site manager's mobile number. Booking requests, approvals, and user messages are sent via SMS text message, allowing for lightning-fast response times.

Privacy Note: Users will never see your actual phone number. DropDesk uses masked phone numbers to protect both host and guest privacy.

Step 4: Write a Strong Venue Description

Your venue description is your primary marketing tool. Be clear, engaging, and highly specific about what space, service, or activity you offer. Highlight what makes your business and venue unique, the vibe, and why it is a great choice for users. Think about the exact questions a guest would have before pulling out their credit card.

Step 5: Add "Special Instructions" (Post-Booking Info)

Special Instructions only appear to the guest after they have booked. This section is vital for ensuring a smooth, five-star arrival experience. Try to think like a first-time visitor and include:

  • Exact check-in instructions
  • Door codes, access steps, or front desk procedures
  • Wi-Fi network names and passwords
  • House rules or specific venue policies
  • How to operate specific amenities (e.g., A/V equipment)

Step 6: Upload Photos and Videos (The 10+ Rule)

High-quality visuals make the biggest difference in your conversion rate. Listings with rich media consistently outperform those without.

The Golden Rule: Upload at least 10 clear photos showing the space, service, or activity from multiple angles. Listings with 10+ photos see significantly higher engagement.

Add a Video: We highly recommend including a short video walkthrough so guests can understand the layout and flow of the venue.

Step 7: Tag Your Amenities

Select all amenities available at this location. While basic amenities like Wi-Fi or coffee are essential, do not forget to check the boxes for high-value extras that make your venue stand out:

  • Free or paid parking
  • Gym access
  • Whiteboards or monitors
  • Proximity to public transportation

Pro-Tip: The more complete your amenities list, the easier it is for your listing to show up in highly specific, long-tail guest searches.

Step 8: Set Your Availability

Availability plays a major role in platform visibility. Venues with consistent and flexible hours tend to rank higher and perform better in search results. If your staffing allows, consider offering evening or weekend availability to capture a wider demographic of users.

Step 9: Save and Publish

Once every section is complete and accurate, click Save. Your new or updated venue location is now live on DropDesk Spaces and ready to accept bookings!

How to Pause or Reactivate Your Venue Listing

You can edit your venue's details at any time using the steps above. However, if you need to temporarily stop accepting new bookings, you can "pause" your venue by unpublishing it. This will temporarily remove your listing from the DropDesk search results.

To pause your listing:

  1. Log in to the DropDesk Web App.
  2. Click on the Locations tab.
  3. Find and click on the venue you want to pause.
  4. Scroll down to the Status dropdown menu.

Use the Status dropdown to change your venue between Active and Unpublished.

  1. Select Unpublished.
  2. Click Save Changes.

That's it! Your listing is now paused. When you are ready to welcome guests again, simply repeat these steps and change the status back to Active.

Important Note Regarding Existing Bookings: Pausing or unpublishing your venue will not cancel any existing bookings that guests have already scheduled.
