Opening Checklist: Before A Booking

- Unlock and Prepare Facility:
- Unlock the facility.
- Turn on the lights.

- Check that all windows and doors are securely locked (for safety and temperature control).
- Walkthrough Inspection:
- Conduct a walkthrough of the entire space.
- Ensure chairs, tables, and power supplies are in their proper places.
- Verify that no furniture or items are out of place.
- Cleanliness Check:
- Ensure all areas are clean and organized:
- Café: Counters wiped, supplies stocked, coffee brewed.
- Common Areas: Furniture arranged, clutter removed.
- Meeting Rooms: Chairs set up, tables clean.
- Restrooms: Sanitized, and fully stocked with soap, toilet paper, and paper towels.
- Floors: Sweep or vacuum if needed, especially if there is noticeable debris or dirt.
- Ensure all areas are clean and organized:
- Inventory Check:
- Check and replenish essential supplies:
- Coffee beans, milk, sugar.
- Toilet paper, soap, and paper towels in restrooms.
- Ensure stock is sufficient to avoid running out during the day.
- Report any low stock items for reordering.

- Brew Coffee & Stock Café:
- Brew fresh coffee for the day.
- Set up snacks and refreshments (if provided).
- Restock any café supplies like cups, napkins, or stirrers.
- Manage Cleaners & Assign Tasks:
- Confirm that cleaners are present and assign cleaning tasks:
- Ensure bathrooms are cleaned and stocked.
- Floors are swept or mopped.
- Garbage is taken out.
- Surfaces are wiped down and sanitized.

- Dishwasher Duties:
- Empty, load, and run the dishwasher.
- Ensure the sink is clear and clean.
- Vendor & Invoice Management:
- Communicate with local vendors as needed.
- Process any invoices and follow up on payments.
- Ensure vendors are meeting the service requirements (coffee, snacks, cleaning supplies, etc.).
- Document & Escalate Maintenance Issues:
- Perform a quick check for any maintenance or facility issues (e.g., broken lights, malfunctioning doors).
- Document and escalate these issues to the relevant teams.
- Venue Errands & Tasks:
- Complete any additional venue-related errands or tasks for the day.
Closing Checklist: After A Booking
Estimated time: 10 minutes
- Member Check:
- Ensure that all day members are finishing up and preparing to leave by your designated closing time.
- Provide any necessary reminders or assistance.
- Dishwasher & Cleanliness:
- Empty and reload the dishwasher if needed, and run it.
- Ensure the sink and countertops are clean and clear.
- HVAC System Adjustment:
- Turn down or switch off the heating or air conditioning to save energy.
- Member Needs:
- Ensure all members have been attended to and are satisfied as they leave.
- Final Walkthrough:
- Perform a last check of the entire facility to ensure it is clean and organized.
- Confirm all lights are turned off, and the facility is secured before locking up.
